Purpose of the role:
A Collections Specialist manages overdue accounts by contacting customers, negotiating payment arrangements, resolving billing disputes, and documenting collection activity. The role also involves reviewing aging reports, using accounting and CRM systems, and partnering with billing and sales teams to support timely, compliant collections.
By overseeing accounts receivable and recovering overdue balances, a Collections Specialist helps protect cash flow while balancing effective negotiation with positive customer relationships.
Key responsibilities and accountabilities:
- Review accounts receivable aging reports to identify overdue accounts.
- Contact customers by phone, email, or letter to obtain payment.
- Negotiate payment plans and repayment terms.
- Investigate and resolve billing errors and disputed charges.
- Accurately document all collection efforts and customer communications.
- Escalate high-risk or severely delinquent accounts to management or legal counsel.
- Prepare reports on delinquent accounts and collection results.
- Recommend accounts for write-off or referral to a collection agency when appropriate.
Profile of the candidate:
- Debt Collection & Accounts Receivable Management: Efficiently track and resolve overdue balances, including payment arrangements and cash application.
- Financial Analysis and Technical Skills: Analyze billing records, financial statements, and aging reports to identify trends and prioritize collection efforts.
- Proficiency in accounting software programs, ERP systems, and other business analytical tools.
- Knowledge of accounts receivable workflows, credit terms, and payment processing.
- Ability to review aging reports and identify collection trends.
- Strong verbal and written communication skills for explaining accounts, negotiating payment plans, and documenting interactions.
- Negotiates mutually beneficial agreements while maintaining positive customer relationships.
- Quickly identifies issues and proactively resolves disputed or delinquent accounts.
- Maintains accuracy in payments, reporting, and regulatory documentation.
- Manages multiple accounts and deadlines efficiently to improve collection results.

Qualifications:
- High school diploma required; an associate or bachelor’s degree in business, finance, or a related field is preferred.
- One to three years of experience in collections, billing, or customer service.
